Users have access to all the Productions in the GS account, unless access restrictions are applied.
It is possible to grant temporary accesses for individuals outside your team (colleagues, partners, subcontractors, etc.) by inviting them to participate in the Productions.
A Guest is a nominative access (identified by an email address).
If a Guest is also a User on another GS account, then the Guest access remains invisible to the other Users of that GS account.
A Guest access grants entry to one stage of the workflow within a Production. For example, you might invite a digital operator to the Live stage of a Production so that they can autonomously upload the Media.
You can open Guest accesses at every stage of a Production (except for Exports), as long as the email addresses of the individuals concerned are registered as Guest. In particular, the same person can be granted Guest access at multiple stages of a Production.
You can save Guest accesses in the Templates, so that these accesses are automatically created each time the Templates are used during the creation of a Production.
When an email address is entered to grant Guest access on a Production:
A GS license is not required to use Guest accesses. By default, GS creates a free account, limited to 1 User (the beneficiary of the Guest access) and which does not allow the creation of a Production. These free accounts are solely used to log in to GS in order to use Guest accesses.
Once the free account has been created, it is not possible to link that user to an organization’s account without intervention from GS Support.
A Guest access remains active as long as the Production is active. After the Production is archived, the Guest user loses their access.
As long as the Production is active, it appears on the Guest access account. If an archived Production is unarchived, it reappears on the Guest access account.
A guest cannot unarchive an archived Production; it will not appear in their list of archived productions.
The same behavior applies when using the Synchronization Application.
